A Reader can view and report, but cannot create or manage:

Simple rule: if the person only needs to view information, confirm it, or report an event → Reader. If they need to create, manage, or oversee content or processes → User.

Licenses are valid for one year, but as soon as a person leaves the company, their account is deactivated, and their license becomes available to be assigned to another user.
